Invite Your Team
Invite people to one or several workspaces, assign access, and manage invitation delivery.
LeenOps lets you invite one person—or a group—to one or several workspaces in a single flow. Each person receives one email summarizing all of their workspace access.
Before you start
You need Invite members in every selected workspace. Assigning a role other than Member also requires Assign roles. Only an Owner can invite another Owner, and only an Owner or Admin can assign Admin.
Send invitations
- Open Settings → Administration → Members.
- Select Invite people.
- Enter up to 50 email addresses, separated by commas, spaces, or new lines.
- Select one or more workspaces.
- Choose a starting role. For several workspaces, choose an organization-wide role.
- Optionally add a personal welcome message.
- Select Send invitation.
A request may contain up to 200 person/workspace combinations. LeenOps checks permissions and seats for each workspace and reports partial failures without hiding successes.
Selecting several workspaces does not merge their data. The person receives a separate membership and role in each workspace and can switch between them after accepting.
What the invited person receives
Existing LeenOps account
The person receives one transactional email, one in-app notification, and a review page where they can accept or decline selected workspaces. The in-app link contains no reusable invitation secret.
If the wrong account is signed in, Switch account signs out safely and returns to the invitation after login.
No LeenOps account
The person can choose Create account on the review page. The invitation is preserved through password signup, email confirmation, OAuth, and one-time-password verification. They return to the invitation instead of normal workspace onboarding.
Links normally expire after seven days. Expired invitations stop reserving seats and can be renewed by resending.
Review and decide
The review page shows the inviter and message, workspace and role, limited module access when specified, expiration, and current status. The recipient can use Accept or Decline selected independently for each workspace.
Accepting several workspaces may partially succeed—for example, if one reaches its seat limit. Successful memberships remain active and the failed item identifies what the administrator needs to fix.
Manage pending invitations
The Pending Invitations section shows delivery status:
| Status | Meaning |
|---|---|
| Queued / Sent | The message is being delivered or has left LeenOps |
| Delivered / Opened | The provider confirmed delivery or opening |
| Delayed | The provider is retrying delivery |
| Email failed / Bounced / Complaint | Delivery needs attention |
Use Resend to rotate the link and try again. Use Cancel to invalidate a pending invitation immediately. Accepted, declined, cancelled, and expired invitations cannot later be accepted.
Remove a member
Choose Remove member from the member row. LeenOps asks for recent identity verification, revokes active sessions, then removes workspace membership. An Admin cannot remove an Owner or another Admin, and the final Owner cannot be removed until ownership is transferred.
Removing someone from one workspace does not delete their account or memberships in other workspaces.
Troubleshooting
The email did not arrive
Check delivery status, then ask the recipient to check spam or quarantine. A Bounced or Complaint state may require correcting the address or asking IT to allow the sender before resending.
The invitation asks to switch accounts
The current account does not match the invited email. Select Switch account and sign in with the address that received the invitation.
A workspace has no available seats
Remove an unused member, cancel another pending invitation, or upgrade that workspace. Invitations to other selected workspaces can still succeed.
The final Owner cannot be removed
Assign another trusted member the Owner role, then repeat the removal.
Recommended roles
| Role | Typical use |
|---|---|
| Owner | Founders or accountable workspace owners |
| Admin | IT and operations administrators |
| Manager | Team leads with scoped record management |
| Member | Individual contributors |
| Viewer | Read-only stakeholders or auditors |
Use the least privileged starting role and regularly review pending invitations and privileged access.
