How Leenops handles connected-mailbox data, access, retention, and deletion requests.
Connecting a Gmail or Microsoft 365 mailbox lets Leenops show relevant email conversations inside supported workflows. This page explains the privacy implications in plain language.
What Leenops handles
Depending on the connection and features you use, Leenops may process:
- message subjects, senders, recipients, and timestamps;
- message content needed for the connected workflow;
- basic attachment information;
- synchronization and delivery status;
- encrypted connection credentials needed to access the mailbox.
Leenops does not receive or store your mailbox password. Authentication uses the authorization process provided by Google or Microsoft.
Why email is processed
Connected email can support features such as:
- showing a conversation on a relevant customer or work record;
- searching synchronized messages;
- sending or scheduling a message from Leenops;
- maintaining continuity for shared customer-service or sales work.
Only connect a mailbox when your organization has decided that this processing is appropriate for its users and contacts.
Access and security
Email data is protected in transit and at rest. Workspace access controls limit who can use connected-mailbox features. Connection credentials are protected separately from ordinary message content.
Leenops personnel do not access mailbox content during ordinary operations. Any exceptional access must follow an authorized support or security process.
Disconnecting a mailbox
Disconnecting stops Leenops from synchronizing new messages and removes the stored connection credentials. It does not delete the Microsoft or Google account, and it does not delete messages from the original mailbox.
Business records already created from email may remain in the workspace when needed by other authorized users. If you also want personal data erased, submit a privacy request rather than relying on disconnection alone.
Account deletion and email data
The Leenops account-deletion workflow includes connected-mailbox data associated with the account. It disconnects the linked service, removes stored credentials and covered synchronized data, and checks for remaining account references before marking the request complete.
Shared business records may be anonymized or retained when another authorized workspace user relies on them or a lawful retention requirement applies.

Privacy requests
If the mailbox belongs to an organization using Leenops, contact that organization first. It normally decides how a request applies to its customer and business records.
For a Leenops account request, email privacy@leenops.com. Do not send your
password, authorization codes, access tokens, or a mailbox export by email.
Artificial intelligence
Some optional AI features may use the content you deliberately ask them to summarize, classify, or draft against. Workspace administrators should review their AI configuration and applicable terms before enabling these features for sensitive mailboxes.
