Email Sequences
Build, test, activate, enroll, and monitor timed email follow-up in LeenOps.
Use a Sequence when the same record should receive a timed series of emails or follow-up actions. Sequences are separate from event-driven workflows so enrollment, timing, sender safety, replies, and unsubscribe behavior remain visible in one place.
Sequence or workflow?

Open Settings → Automation & Templates → Sequences, or select Email Sequences from the Automation Center's Choose the right tool panel. Creating and editing requires the corresponding Sequence permissions. Activation and sender settings require a workspace Admin or Owner.
Before you build
- Open Settings → Administration → Email.
- Add your workspace's Resend API key.
- Set the From name and From email.
- Enable outbound email and verify the sender domain.
- Send a workspace email test.
Customer-authored Sequences cannot be activated with the shared LeenOps sender. Activation requires your own enabled, provider-verified workspace identity.
Create and edit a Sequence
- Open Sequences and select New sequence.
- Choose Welcome new contacts for the guided setup, or Blank sequence for another use case.
- Enter a clear internal name and description. The welcome setup selects Contact, the Onboarding category, and Every new contact automatically.
- Add email, task, field-update, notification, wait, or branch steps.
- Save the general settings, send window, and exit rules.
The starter creates only a safe draft. It never activates the Sequence or sends email for you.
Each email step requires an English subject and body. French and Dutch are optional, but any language you add must have both fields complete before activation.
Use the merge-field help for contact values. Set an optional Reply-to email when replies should go to a founder, account owner, or shared inbox. Reply-To never replaces the verified workspace From identity.
Select Send me a test and verify the From identity, Reply-To, links, body, and every language you intend to use.
Choose who enters
The builder provides two enrollment modes:
- Manual enrollment only — enroll from a record, bulk action, or approved integration.
- Every new contact — while active, enroll each newly created workspace contact once. Existing contacts are not backfilled.
The automatic option is available only for contact Sequences. Use a Workflow for conditional or cross-module processes; do not add a second automation just to reproduce the built-in new-contact trigger.
Activate safely
Select Activate and confirm. LeenOps checks that:
- at least one step exists;
- every step type has a production executor;
- email subjects and bodies are complete;
- Reply-To addresses are valid;
- the enrollment mode matches the target type; and
- the workspace sender is enabled and its domain is verified.
Activation fails closed with corrective instructions. While active, the target type, enrollment trigger, and steps are locked. Deactivate the Sequence before changing them.
Delivery and exits
The Sequence worker evaluates due enrollments every minute and applies the configured send window and timezone. Sends are idempotent, rate-limited, suppression-aware, and recorded in delivery logs.
Exit rules can stop an enrollment after a reply, unsubscribe, bounce, meeting, manual exit, or completion. Use Sequence analytics and enrollment details to inspect progress and errors.
Understand signup email ownership
Signup email has three owners:
- Account email — verification, password recovery, invitations, and access security are platform authentication messages.
- LeenOps customer lifecycle — after onboarding starts a trial, LeenOps' internal customer workspace creates a company, owner contact, and lifecycle deal, then enrolls the deal in approved lifecycle Sequences.
- Your workspace Sequences — messages your workspace authors use your verified sender and selected enrollment mode.
Editing your Sequence does not change authentication email or LeenOps' internal founder welcome. Required billing and access notices also remain platform system messages.
Troubleshooting
- Sender not ready: Verify the exact From domain in the same Resend account as the saved API key.
- A new contact was not enrolled: Confirm the target is Contact, the mode is Every new contact, and the Sequence was active before creation.
- An enrollment is not advancing: Check analytics and ask an administrator to verify Sequence worker health before retrying.
- Replies go to the wrong inbox: Review the step Reply-To and any team-assignment override.
