Contract Signing and Countersigning

Send a contract, collect recipient signatures, countersign for your Workspace, and deliver the completed agreement.

LeenOps guides a contract from the recipient's signature through Workspace approval and final delivery. Whether someone in your Workspace must countersign depends on the template used to create the contract.

Choose the Signing Policy

When you create or edit a contract template, choose whether the agreement requires a Workspace countersignature.

The selected policy is saved on each new contract. Changing the template later does not change contracts that already exist.

Send the Contract

  1. Open the contract and check its content and signatories.
  2. Confirm that each recipient has the correct name and email address.
  3. Click Send for signature.
  4. Review the email subject and message, then click Send secure link.

Each recipient receives a private signing link. If the agreement has several recipients, LeenOps tracks each signature separately.

Recipient Signing Experience

The direct contract page keeps the header and signing summary visible on larger screens while the contract document scrolls. On mobile, the page uses normal vertical scrolling.

To sign, the recipient:

  1. Opens the private link from the email.
  2. Reviews the contract.
  3. Enters their full legal name and chooses Type or Draw for the signature.
  4. Accepts the electronic-signature consent.
  5. Submits the signature.

The signed confirmation tells the recipient whether another party still needs to sign. A used, expired, revoked, or invalid link cannot be used to add another signature.

A combined quotation and contract package currently uses a drawn signature on the package signing screen. A contract sent through its own secure link offers both typed and drawn signatures.

Countersign for the Workspace

If the contract requires a Workspace countersignature, LeenOps notifies the contract owner and the pending Workspace signer after every external party has signed.

  1. Open the notification or open the contract in Contracts.
  2. Check that the status is Signed and click Countersign contract.
  3. Review the authorized signer name, title, and email.
  4. Use a typed, drawn, or uploaded signature. You can also use the saved Workspace signing identity.
  5. Click Sign and execute contract.

This is an explicit legal action. LeenOps never applies a saved Workspace signature automatically.

If the Countersign contract button is not visible, check that:

  • all external recipients have signed;
  • the template requires a Workspace countersignature;
  • a pending Workspace signatory exists on the contract; and
  • you have permission to send and sign contracts.

Save a Workspace Signing Identity

Workspace owners and authorized admins can save a default identity in Contracts > Settings.

  1. Find Workspace signing identity.
  2. Enter the authorized signer's name, title, and email.
  3. Type, draw, or upload a PNG, JPEG, or WebP signature.
  4. Click Save signing identity.

The saved signature remains private. It pre-fills the countersignature form, but an authorized user must still review it and click Sign and execute contract for every agreement.

What Happens After Signing?

Once all required signatures are complete, the contract becomes Executed. LeenOps then:

  • creates the final signed contract and audit trail when those files are available;
  • records the completed signature history;
  • notifies the contract owner;
  • emails the completed agreement to the signed parties; and
  • triggers configured contract integrations and automations.

You do not normally need to download and resend the contract manually.

Troubleshooting

The recipient signed, but nothing else happened

Open the contract and check its status:

  • Signed means the contract is waiting for a Workspace countersignature. Open it and click Countersign contract.
  • Signing in progress means another external recipient still needs to sign.
  • Executed means the signing workflow is complete. Final delivery runs automatically.

A signer did not receive the final copy

First confirm that the contract is Executed, then check the signer's email address and spam folder. The contract owner can download the signed contract and audit trail from the contract record when the files are available. If delivery or file generation still appears incomplete, contact your Workspace administrator or LeenOps Support.

Signing links are private and cannot be reused after signing or declining. They also stop working when a contract is revoked, expired, or already completed. Verify the contract status before sending a replacement agreement.
